Every order for milking machine parts starts as an inquiry. No cart, no checkout, no card on this site. You send what you have, the desk says what it has, and nothing moves until you say yes to a confirmed price.
Six steps, and when each one happens
Times are how the counter usually runs, not a promise. A pallet, a part ordered in from a supplier or a question the desk can't answer from a photo all add time, and the desk tells you which one it is.

You send the inquiry
By the inquiry form, by email to [email protected], by the chat on this page or by ringing (608) 355-8791. What makes it fast is the identifier. A part number off the old bag, a model plate, a caliper reading of a gasket ID, or a photo of a liner mouthpiece held against a ruler.
"Black gasket, about two inch" is where most wrong orders start. The desk will ask for the ferrule size, because the size is the ferrule, not the pipe.

The desk matches it
One of the four people on the parts desk cross-references what you sent against stock, by number or by measurement. Fit questions they can't settle go to the parlour technician, who has fitted most of what is on the shelves. The answer comes back with stock status, a price and a lead time, usually within the working day.
If the desk can't identify the part, it says so and asks one more question. It does not guess and quote.

You get a confirmation
The confirmation lists each line with its part number, the confirmed unit price, the quantity break it reached, freight and any applicable Wisconsin sales tax. The estimator gave you a band; this is the actual number. Reply yes, change a quantity, or walk away. Nothing is reserved against you until you reply.

Invoice and payment
Accepted orders get an invoice from the office, the two people who also handle accounts and claims. Payment is arranged on that invoice, outside this website. The site never asks for card details, and nobody from the desk will ask for a card number by chat or by email.
Keep the invoice. It carries the part numbers a warranty claim or an exchange is judged on.

Packing and dispatch
Stocked parts confirmed by the early afternoon usually leave the same day. Rubber goes in sealed bags, away from light and away from anything with an edge. Stainless is sleeved so polished faces don't scuff each other in transit. The packing bench checks each line against the confirmation before the box is taped, and the tracking number goes out by email.

Freight to your door
Small parcels go by ground carrier to anywhere in the United States. Freight is quoted at confirmation on the actual box, not on a flat table. Hose assemblies, pumps and anything over a parcel carrier's limits go by freight, and those are a conversation, not a checkbox.
What speeds it up
One number beats three photos.A part number or a measurement in millimetres.
If you have neither, send the photo, but put a ruler in it. A liner shot against a steel rule tells the desk the mouthpiece bore to within a millimetre. A liner shot on its own tells it the colour.

Tell the desk first
Ring or email before anything goes in a box. Opened the bag and it is wrong? Stop there. Don't fit it to see.
Get a return reference
The desk issues a reference, and a prepaid label when the mistake was ours.
Mark the box

Credit or exchange
Checked on arrival against the invoice, then credited or swapped. Full details live on the warranty and exchange page.
What the desk won't do
- Take card payment online
There is no checkout on this site on purpose. A price is only real after someone has matched the part.
- Restock fitted rubber
A liner or gasket that has been clamped once has taken its set. It comes back to us, and it goes in the bin.
- Ship an unidentified part
A second wrong part is worse than the first. The desk will hold the order and ask.
- Promise a delivery date
We can say when it leaves Middleton. After that the carrier owns the clock, and we give you the tracking number so you can watch it too.
- Quote from the estimator alone
The band is for budgeting. Confirmation happens after the desk knows what you actually have.
Questions buyers ask
Before the first order
Herd managers, parlour techs, creamery rooms and co-op maintenance crews all order the same way. The small ones are welcome.
No. The site has no cart and takes no payment. You pay against the invoice the office sends after you accept a confirmation.
No. Six gaskets by Thursday is exactly the kind of order the counter was built for. Be aware that freight on a tiny parcel can cost more than what's in it, and the desk will tell you before you say yes. Adding a few spares to reach the 25-unit break is often cheaper than a second shipment next month.
The confirmation says so line by line, with the supplier lead time. You choose whether to split the order, ship what's here now and the rest later, or wait and ship once. Split shipments carry their own freight.
No. We sell parts. We don't sell or install whole milking systems and we don't send technicians out. Our parlour technician answers fit questions by phone and email, which is a different thing from a service call. If you need a whole system, you want a dealer, not a parts counter.
Ask the desk. Repeat buyers can have their usual gasket sizes and materials kept on file so a restock is one line of email. Terms on the invoice are agreed with the office, not on this site.
